What Personal Data We Collect

Contact Form Submissions

When you contact us via our form, we process the data you provide: name, business email address, subject and message. We do not add IP address or user-agent to contact form emails.

System/Hosting Data

Our EU-based hosting provider collects standard server access logs (e.g., date/time, requested URL, status codes, and similar technical metadata) for security and diagnostics.

Invoicing and Business Correspondence

For B2B projects, we process basic invoicing and contract data required for accounting and tax purposes.

Why We Process Data (Legal Bases)

> Pre-contractual steps / responding to your inquiry (Art. 6(1)(b) GDPR).

> Legitimate interests in operating a secure, reliable website and communicating with B2B prospects (Art. 6(1)(f) GDPR).

> Legal obligations regarding accounting/tax records (Art. 6(1)(c) GDPR).

Retention Periods

> Contact form emails: up to 12 months (or as long as needed to handle your request), then deleted/archived.

> Server/access logs: up to 14 days, then deleted.

> Accounting/invoicing data: 10 years under German statutory retention rules.

Hosting & Processors

Website and email are hosted by Mijndomein B.V. (Netherlands, EU) — www.mijndomein.nl. Mijndomein acts as our processor. Data is stored and processed in the EU. We do not transfer your data outside the EEA.

Cookies & Similar Technologies

We value privacy and therefore do not set analytics, marketing or tracking cookies. Only strictly necessary, short-lived technical cookies may be used where required to operate the site (e.g., basic session/security). For details, see our Cookie Policy.

Your Rights (GDPR)

You may request access, rectification, erasure, restriction, data portability, or object to processing. To exercise your rights, contact info@crossprod.media. You also have the right to lodge a complaint with a supervisory authority in the EU/EEA.

Processing on Behalf of Clients

When we provide domain/hosting management or other web services for a client, we act as a processor and can sign a Data Processing Agreement (DPA) on request. We may use qualified subcontractors under confidentiality obligations.

Security

We implement appropriate technical and organisational measures, including secure hosting, access controls and data minimisation. No method is entirely risk-free, but we continuously improve our safeguards.

Third-Party Links

Our site may contain links to third-party platforms (e.g., Instagram, LinkedIn, YouTube, Behance). Visiting those sites is your choice and their privacy policies apply.

Changes

We may amend this policy to reflect legal or operational changes. The date above indicates the latest version.
